Company profile & branding
Your company profile is your organisation’s identity. It is captured once through a guided wizard and then editable any time. Managing it is admin-only.
The company setup wizard
Section titled “The company setup wizard”When your organisation first starts, a resumable setup wizard walks you through your legal details step by step. You must complete it before the transactional modules unlock.
- Enter your company name and description.
- Enter your address: street, city, state, country and pincode. Your state matters: it drives GST place-of-supply later.
- Confirm your currency and timezone. New organisations default to INR and IST (Asia/Kolkata).
- Enter your GSTIN and PAN (see validation below).
- On the review step, check each section, you can jump back and edit any of it.
- Finish. Your profile is saved, your dashboard unlocks, and your organisation is marked “configured”.
The wizard remembers your progress if you navigate away, so you can come back and continue. Only the company name is strictly required; other non-critical fields can be left empty with a warning and filled in later. If something goes wrong, a network glitch or a validation error, you get a clear message and your saved progress is not lost. There is exactly one company profile per organisation, and completing the wizard is recorded in the audit log.
GSTIN and PAN validation
Section titled “GSTIN and PAN validation”To keep your statutory identifiers clean, Villva validates them whenever you save (in the wizard and on later edits):
- PAN must be 10 characters in the pattern
AAAAA9999A(five letters, four digits, one letter). - GSTIN must be 15 characters, a 2-digit state code, your 10-character PAN, an entity digit, the letter
Z, and a checksum. - The PAN embedded inside the GSTIN must match your PAN field; a mismatch is rejected.
Anything malformed is refused with a clear message and never saved.
Logo and brand colour
Section titled “Logo and brand colour”Upload your company logo and set a brand colour so the app and your documents look like yours.
- In settings, upload a logo (allowed types and size are enforced).
- Optionally set a brand colour, a live preview shows the effect. If the colour would fail accessibility contrast against the default text, you get a warning.
- Save.
Your logo appears in the app header and navigation, on generated PDFs (invoices, quotes, purchase orders) and in email templates. Replacing the logo updates everywhere automatically: no need to touch each document, and no sign-out required. Until you upload one, a default Villva logo is used so nothing looks broken. Changes are audited.
Your profile data, name, GSTIN, PAN and address, also flows automatically onto invoices and reports, so you never re-type it per document.
Your subdomain
Section titled “Your subdomain”Your organisation’s web address (for example yourcompany.villva.com) is shown in settings, read-only, with a short note explaining what it is. Because changing a subdomain affects sign-in, email and routing, it isn’t something you edit directly.
To change it, use the Request change action. Your request goes to Villva (the platform team), you can see its status, and you are notified when it is approved or rejected (with a reason). Every request and outcome is recorded.
Locale and timezone
Section titled “Locale and timezone”Set your organisation’s language, region, number format, date format and timezone.
- The language and timezone default from your country; the timezone list uses the standard worldwide time zones.
- Live previews show how numbers, dates and currency will look as you change the locale.
- These defaults are used for emails, PDFs and on-screen timestamps.
- An individual user’s personal locale preference, where they set one, overrides the organisation default for them.
Changes here are admin-only and audited.
