Overview
Welcome to Villva ERP. This guide helps you and your team get productive quickly, whether you are the Org Admin setting things up or a user doing day-to-day work.
What Villva ERP is
Section titled “What Villva ERP is”Villva ERP is a cloud business management system for small and medium businesses. It brings your operations, assets, people, masters, transactions and reporting, into one place, with each business getting its own private, isolated workspace.
Key things to know:
- Your organisation has its own subdomain, for example
yourcompany.villva.com. That web address is where your team signs in, and it always loads your organisation’s data only. - Your data is private to your organisation. You can never see another company’s records, and they can never see yours.
- Access is invitation-only. There is no public sign-up. Your Org Admin (or Villva, when your organisation was first created) invites people in.
- Defaults suit Indian businesses: Indian Rupee (INR), IST timezone, and the April, March financial year, and can be changed in settings.
Signing in
Section titled “Signing in”- Go to your organisation’s address,
yourcompany.villva.com. - Enter your email and password.
- If your organisation uses two-factor authentication, enter the 6-digit code from your authenticator app when prompted.
- You land on your dashboard.
New to the system and received an invite email? You will first set your own password from the invite link, then sign in normally. See Signing in for the full flow, including forgotten passwords and locked accounts.
There is no SMS login, no one-time-code login, and no magic link, email and password (optionally with an authenticator app) is the only way in.
Finding your way around
Section titled “Finding your way around”Once signed in you will see a consistent layout on every page. For a full tour, the sidebar, the notification bell, search and the profile menu, read Navigating the app.
Roles: who can do what
Section titled “Roles: who can do what”Every user has a role that decides what they can see and do. Villva ERP starts each organisation with a sensible set of roles:

| Admin (Org Admin) | Runs the organisation, settings, users, roles, everything. |
| Manager | Oversees a function; approvals and broader access. |
| User | Day-to-day operational work. |
| Viewer | Read-only; can look but not change. |
| Customer portal | An external customer viewing only their own invoices and statements. |
Access is deny-by-default: a role can only do what it has been explicitly granted. Org Admins can create their own roles and fine-tune permissions, see Roles & permissions and, for the full management screens, Users & roles.
First steps for a new organisation
Section titled “First steps for a new organisation”If you are the first Org Admin, work through these in order:
- Complete the company setup wizard: legal name, address, GSTIN, PAN, currency and timezone. This unlocks the rest of the app. See Company profile.
- Set up your structure: branches/locations, departments and designations. See Branches, fiscal year & numbering.
- Configure numbering and fiscal year so your documents follow your conventions from day one.
- Invite your team and give each person a role. See Users & roles.
- Turn on the modules you use and hide the ones you don’t. See Modules & feature flags.
- Secure your account: set a strong password and enable two-factor authentication. See Account & security.
Once these are done, your team can start recording assets, employees and transactions.
