Categorisation, tags and tax profile
Classifying a customer
Section titled “Classifying a customer”Every customer is classified so your data stays organised and reportable:
- Type: Business or Individual.
- Segment: Pump, Valve or Other. Segment is a strict partition: any list, filter, badge or report scoped to a segment shows only that segment. Pump and Valve data never mix.
- Sub-segment: a finer grouping under the segment.
- Region: selected from your configured region set (for example TN, Chennai, Kerala, Coimbatore, AP, Telangana, Karnataka). Only values from this set are accepted, a region outside the set is rejected.
Filtering by a segment returns only that segment’s customers, and you can filter the list by region too. Changing a customer’s segment is recorded in the activity timeline and audit trail.
Managing categories and reference data (admins)
Section titled “Managing categories and reference data (admins)”Tenant Admins can tailor the classification values to your business instead of using fixed lists. From settings you can:
- Add, edit or remove category, segment, sub-segment and region values.
- Nest each sub-segment under exactly one parent segment.
- Deactivate a value you no longer use, existing customers keep their historic value, and the deactivated value simply stops appearing in the picker.
- Export and re-import reference data to speed up setup or migration.
Only Tenant Admins can edit reference data, and every change is audit-logged.
Tags are free-form labels for grouping customers however you like.
- Open a customer and add or remove tags.
- Use the filter by tag option on the list to see all customers with a given tag.
Custom fields
Section titled “Custom fields”Tenant Admins can define custom fields to capture business-specific data, as text, number, date or a select list. Once defined, custom fields appear on the create/edit form and on the detail page. Tags and custom fields are specific to your organisation.
Tax profile (multi-regime)
Section titled “Tax profile (multi-regime)”Beyond the standard GSTIN/PAN, a customer can carry a flexible tax profile so the system handles any tax regime.
- Tenant Admins enable which regimes apply (for example GST-IN, EU VAT, US sales tax, or none).
- For each enabled regime the customer holds a tax identifier validated against that regime’s format.
- A tax category per regime drives how invoices treat the customer.
- Reverse-charge applicability can be flagged where the regime requires it.
- A default tax treatment (intra-region vs. cross-border) feeds invoice tax calculation.
Tax identifiers are searchable from the list. The whole tax section is hidden when no regime is enabled, and every tax-field change is audit-logged.
