Importing lines from Excel
For large orders, import the line items from an Excel file instead of adding them one by one. An import wizard walks you through choosing the file, previewing the parsed rows, fixing any problems, and confirming.
Step 1, Choose the file
Section titled “Step 1, Choose the file”- Download the template if you need the expected column layout.
- Pick your Excel file (drag-and-drop is supported). The file type and size are checked up front, so a wrong format or oversized file is caught immediately.
- The file is staged for the next step. Cancelling here stages nothing.
Step 2, Preview
Section titled “Step 2, Preview”The parsed rows are shown in two ways:
- Table preview (the default) maps each row to the PO line columns, with any validation error shown inline on the row. You can edit rows in place (quantity, rate) and remove bad rows without re-uploading. A row count and validation summary sit at the top.
- Raw data preview shows the parsed data as an expand/collapse tree you can search, handy for verifying that a tricky file was read correctly. It’s read-only; edits happen in the table preview.
Each row is marked valid or invalid; invalid rows show the row number and the reason (for example an unknown item or a missing HSN). Imported items are matched against your Item Master: unknown items are flagged, never auto-created.
Step 3, Confirm
Section titled “Step 3, Confirm”- Confirm is enabled once every visible row is valid.
- On Confirm, the valid lines are saved to the draft PO all together (all or nothing), and the PO total recomputes.
- Any rows that still fail remain in the preview so you can fix and re-try, nothing is silently lost.
A malformed or unreadable file is rejected with a clear message, and no partial garbage is saved. Import runs only on draft POs, and every import is audit-logged with the file name, the row counts and who ran it. The uploaded file itself is retained for reference.
